OPTIMISE is our latest approach aimed at finding operational inefficiencies and implementing improvements to your asset through working practice change. The approach complements our long standing Effective Working Environments methodology.

An Introduction
Organisations are coming under increasing pressure to realise cost savings whilst maintaining services. The cost of providing and maintaining estates resource; whether it be in the form of offices or service environments is rightly being scrutinised. Nearly 10% of estate in the NHS for example is unused - but that is the tip of the iceberg - millions of square meters of space in estates across the land are poorly used. This represents a valuable opportunity to OPTIMISE estate and we believe the best way to do that is through working practice change.

How it works
To optimise an estate we believe that 3 key areas need to be addressed - physical change, cultural change and process change. By reviewing these interconnected elements a strategy can be devised to save money, reduce space, improve efficiency and critically, get staff on-board and involved in the change.

We will not only recommend a course of action to maximise an estate we can also actively manage the process and integrate with the teams in your organisation to achieve the objectives of the project.

Our recommendations are most effective when aligned to a 'catalyst' project - a new building or a change of accommodation - but we can also integrate changes in working practice into an existing estate.

The benefits
The main aim of implementing working practice change is to save money; whether this be by saving space, energy, time or direct costs. It also provides an alternative to the default reaction in a tough economic climate of cutting services or staff. When aligned to an infrastructure project there is a double benefit of making savings at a design stage to save both capital and operating costs. Not least, we aim to improve environments for staff and managers alike by gaining their involvement and overcoming historical and political resistance to change.

Coventry NHS - City Centre Health Facility - £24m LIFT project.

Working with staff, managers and the supply chain we implemented a materials management system which reduced storage requirements by 60% in the new building, saved over 300 hours of clinical time per year and significantly cut inventory and waste. For every pound spent on this commission we estimate a potential £7 was saved in capex and nearly £50 will be saved over the life of the PFI lease. By implementing the system before the building was commissioned staff were prepared for the new lean way of working when they moved in.
